This policy explains how Outline Photography UK ("we", "us", "our") collects, uses and protects your personal information when you visit outlinephotographyuk.com, enquire about our services or book us to photograph your wedding or event. We are committed to handling your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Outline Photography UK is a wedding and event photography business run by Rachel and based in Essex, England. We are the data controller for the personal information described in this policy. You can contact us about anything in this policy at outlinephotographyuk@outlook.com or on 07539 071107.
The information we collect
When you enquire
When you use our enquiry form, email, phone or message us on social media, we collect the details you give us. This usually includes your name, email address, phone number, wedding or event date, venue, the collection you're interested in and anything you tell us about your plans.
When you book
If you book with us, we also collect the information needed to deliver your booking, such as your postal address, your partner's name, your day's timeline and suppliers, family photo lists, and payment records.
On the day
Photographing your wedding or event means we create images of you, your guests and the people involved in your day.
When you browse the website
Our website is hosted by Wix. Wix and its partners may collect technical information such as your IP address, browser type, device information and the pages you visit, using cookies and similar technologies. See "Cookies" below.
How we use your information
- To reply to your enquiry, check availability and send you information about our collections (lawful basis: taking steps at your request before entering into a contract).
- To deliver your booking: planning, photographing your day, editing, and delivering your online gallery, prints and albums (lawful basis: performance of a contract).
- To take payments, keep accounts and meet our tax and legal obligations (lawful basis: legal obligation).
- To show selected images from your day in our portfolio, website, blog, social media, award entries and printed marketing (lawful basis: your consent, which you can give or decline in your booking agreement and withdraw at any time).
- To keep the website secure and working properly (lawful basis: legitimate interests).
We will never sell your personal information, and we will only send you marketing emails if you have asked us to.
Who we share it with
We only share your information with trusted service providers who help us run the business, and only as much as they need:
- Wix, which hosts our website and stores enquiry form submissions.
- Our online gallery and file delivery provider, which hosts your finished images.
- Print and album laboratories, when you order prints or albums.
- Payment providers and our accountant.
- A second photographer or videographer working on your day, where your booking includes one.
Some of these providers may store data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the international data transfer agreement.
How long we keep it
If your enquiry doesn't turn into a booking, we delete your details within 12 months. If you book with us, we keep your booking records for as long as needed to meet our legal and accounting obligations (normally six years after the end of the tax year in which your booking finished). We keep backups of your images for a reasonable period after delivery so we can help if you lose your files, and we'll tell you how long in your booking agreement.
Your rights
You have the right to ask for a copy of the personal information we hold about you, to ask us to correct or delete it, to object to or restrict how we use it, to ask for it to be transferred to you or someone else, and to withdraw your consent at any time where we rely on consent (for example, for portfolio use of your images). To make a request, email outlinephotographyuk@outlook.com. We'll respond within one month.
If you're unhappy with how we've handled your information, please talk to us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Cookies
Our website uses essential cookies that are needed for it to work securely. Wix may also set cookies for performance and analytics. You can control or delete cookies through your browser settings, although blocking essential cookies may affect how the site works.
